Seeking Administrative Assistant
Weston & Associates is seeking an experienced Administrative Assistant to join our growing Dayton footprint. We bring together world-class software professionals to create the future of defense technology. The ideal candidate will possess top-class communication skills, a knack for planning, the ability to execute to the finest of details, and be self-driven with ownership of the problem. This candidate should have experience in a fast-paced, high-growth company.
Ideal candidate would have experience with AR/AP/Bookkeeping in a face paced construction office.
WHAT YOU’LL DO:
- Provide support to our CEO and senior staff.
- Overseeing day-to-day operations in the office.
- Be the point of contact for Engineering, Finance, Legal, Recruiting, and other teams.
- Working with IT to ensure all facilities are running smoothly.
- Organize internal and external events such as team dinners, off-sites, etc.
- Manage daily calendars for 2-3 employees
- Respond to internal and external meeting requests Arrange travel, accommodations, itineraries, and all correspondence related to arrangements as needed
- Act as point of contact for external guests Plan and host external meetings
- Help plan company events, meetings, and employee team-building activities or special projects
- Help with Recruiting, Advertising, and other business operations Manage small internal projects
- Create and update databases and records for financial information, personnel, and other data
- Help onboard new employees
REQUIRED QUALIFICATIONS:
- A minimum of 4 - 6 years of administrative experience supporting senior-level executives in a corporate environment preferred
- Excellent written, verbal, and interpersonal communication skills.
- Approachable style and ability to effectively and professionally interface with high-level executives, clients, employees, and business associates, both internal and external Strong organizational and time management skills.
- Proven experience in multitasking and working with multiple people and priorities while delivering high-quality results and following through
- Demonstrates curiosity and a desire to understand the company goals
- Able to handle constant change Proven ability to handle confidential and sensitive information in a professional manner
- Excellent attention to detail and accuracy Strong Microsoft Office Suite skills. Atlassian skills is a bonus.
- Proficient in scheduling meetings in multiple time zones
PREFERRED QUALIFICATIONS:
- Industrial construction experience preferred
